What is a business visa to Japan and who is it suitable for?

The Japanese system doesn't have a separate category called Business Visa. For a short business trip, a temporary residence visa for the purpose of ""Business"" is issued. Upon entry, she receives Temporary Visitor status, which is typically granted for 15, 30, or 90 days.

This format is suitable for a visit after which the person returns to their primary job or business outside of Japan. Receiving remuneration in the country or engaging in income-generating activities there is prohibited under a Temporary Visitor status. If the trip involves such work, a different status of residence will be required.

Who can apply for a business visa to Japan?

Here, the first filter is not the job title, but the passport and place of residence. Citizens of visa-free countries may not need a separate visa for a short business trip. MOFA has a separate short-term application procedure for citizens of Ukraine, Georgia, and the CIS.

If a person permanently resides in a country other than their country of citizenship, the application is usually submitted through the Japanese mission that serves their current place of residence. Therefore, a residence permit or other local status must also be considered in advance. Within the application itself, it's important to demonstrate which company the individual represents and why they are participating in the trip.

What are the purposes of a business visa?

People rarely travel to Japan for just one meeting. In just a few days, they can discuss delivery terms, tour the production facility, meet with a potential partner, and sign a contract. All of this fits into a business trip if these are the objectives stated in the documents.

""Business Purpose"" also includes market research, investment preparation, participation in specialized exhibitions and conferences, corporate briefings, promotional events, and certain types of after-sales service for equipment already delivered. The specific set of documents depends on the visit's itinerary: the more complex it is, the more important it is that the dates and objectives coincide with the Japanese invitation.

What documents are needed for a business visa to Japan?

For citizens of Ukraine, Georgia, and the CIS countries, MOFA makes one difference from most applicants: two copies of the application form and photograph are required. If the applicant lives outside their country of citizenship, the local consulate will additionally verify their residency status, and for entrepreneurs, business documents may be required instead of an employment certificate. Therefore, the package details vary, although its basic nature remains the same:

• A valid passport;
• Flight itinerary with entry and exit dates from Japan;
• A letter from the employer or a travel document stating the purpose and duration of the trip;
• A certificate from work indicating position, length of service, and salary;
• Proof of legal residence in the country of application;
• For entrepreneurs - business registration documents, and in some consulates also corporate bank statements;
• Additional financial documents and accommodation reservations, if required by a specific diplomatic mission.

Documents from the Japanese side are not included here: a separate set is provided for them, which depends, among other things, on who is paying for the trip.

What documents does the inviting party provide?

The Japanese party is responsible for more than just the invitation. Their documents must demonstrate the company behind the trip and the day-by-day schedule of the visit. For a business presentation, they typically prepare:

• Invitation letter;
• An itinerary with dates, addresses, and scheduled meetings;
• A list of applicants, if multiple people are traveling at the same time.

If the host company covers all or part of the expenses, the package becomes more comprehensive. In this case, they will also need a letter of guarantee and documentation about the organization itself—for example, an extract from the corporate register or a form with company information. For public companies, other corporate confirmations are permitted in certain cases.

Copies are usually sufficient, but the consulate reserves the right to request originals or additional documents if it needs to further verify the host party.

How to apply for a business visa to Japan

The application process begins with selecting the Japanese mission that serves the applicant's place of residence. This is especially important for those who live outside their country of citizenship: a passport alone may not be sufficient, and the consulate has the right to request proof of local status.

Once the application location has been determined, it remains to verify its requirements and the method of document submission. Some countries accept applications in person or through a representative, others accept mail, and some countries use visa centers. Therefore, there is no universal procedure for all of Europe.

The application package itself is compiled according to the rules of the selected diplomatic mission: the application, the applicant's documents, and the Japanese side's documents are submitted together. How to confirm the business purpose of the trip

Phrases like ""business"" are not sufficient for the Japanese consulate. The MOFA instructions for invitations clearly state: the purpose must be described in detail, with specific actions in Japan. That is, instead of a general ""meeting with partners,"" it is better to explain the issue being discussed, who is participating, and the project or agreement the visit relates to.

This version must then stand up to scrutiny by other documents. The employer's letter, invitation, itinerary, and cooperation materials must be consistent in terms of dates and objectives. The business connection itself can be supported by a contract between the companies, correspondence, conference materials, or other documents that clarify the origin of the trip.

For the consulate, this is proof of purpose: not a single strong document, but a coherent story that explains why the applicant's personal presence in Japan is required.

How long does it take to process a business visa to Japan?

Five working days is the MOFA's basic guideline for a visa application, assuming the application is complete and no additional questions arise. The countdown begins the day after the documents are received.

However, specific missions may provide a longer timeframe. For example, Berlin specifies a minimum of five working days, while Munich typically specifies five to nine. Additional verification, requests for new documents, or transferring the application to the MOFA in Tokyo can extend the processing time by weeks, or sometimes even longer. Therefore, it's better to apply with more time than just before the date of an already purchased ticket.

Business Visa Cost

The price of a Japanese visa is not tied to whether the trip is business-related. The consular fee is determined primarily by the applicant's nationality and the place of application. Therefore, two people with the same travel itinerary may pay different amounts, while others may pay nothing.

For example, citizens of Ukraine, Georgia, and several CIS countries are exempt from the visa fee based on the principle of reciprocity. If such an exemption is not available, you should check the rates of the specific Japanese consulate. In Eurozone countries, after the rate update on July 1, 2026, a single-entry visa costs EUR 90.

There may also be additional costs for the visa center, document forwarding, or intermediary services if the application is not submitted directly through the consulate.

Why a Japanese business visa might be denied

For business visas, it is especially important that the travel itinerary actually fits within the Temporary Visitor visa. If the documents indicate that the applicant intends to receive remuneration in Japan or engage in gainful activity there, this is a different visa basis.
